They will use the system to ensure that there is consistency in the company when making purchases or sales on credit.The operations department in Digital Construction Company is tasked with the responsibility of controlling all internal and external transactions in the company. All consultations are done with the authorization of the department. The operations manager heads it. They need to have a system that will ensure reliable communication in all transactions being done.
The administration section determines the overall running of the company. They are therefore attributed to making calls to ensure that all processes are in place. They also authorize some key decisions in the management. They act on behalf of the shareholders. They require constant communication that should be effective.
The processes also involve procurement section. This faculty deals with the authorization of tenders and other business transactions. Any purchase made by the company is audited and approved by this section. They use cell phone systems, which is not reliable in case of a huge company. The need of using the proposed IP phone system will be a significant milestone in this department. The IP system does not involve a lot of money to set up and use. The use of cell phones requires constant recharging of airtime, which is very costly.
The warehouse is also a main section that needs the IP phone system. The store is the backbone of all transactions. The company uses the repository to store all products. In this case, the operations department has to interact with store managers who are in different locations. The IP phone system is the best to enhance their quality of communications.
Physical Location
Digital Constructors is located in the United States in the state of Alaska. The offices of the company are in different places. Digital Constructors has branches in the city of Chicago and Alabama. All these places are potential in the field of construction. The real estate sector is developing, and so, the building industry. The branches are located in different locations so that the company can have a large customer base.
The staffs in the whole company are around 100. The procurement section has 20 staff. These are involved with all activities that entail selling and buying of all materials. The other departments have both casual and permanent employees. The system will serve all the employees effectively. The IT staffs are decentralized. They are in different branches so that they can offer support to the staff in other departments. The proposed IP phone system will not require specialized personnel. It will only need workers that have little knowledge of computing. Therefore, it will help in reducing costs.
The infrastructure in the company is not efficient. They do not have any official method of communication. They use cell phones. Using cells can be distractive and may seem unofficial. It also has higher costs. The present system is not reliable if the cell phones are not recharged. On the other hand, Sprint Cell Phone Company provides a set of products in the installation of a local area network. The IP phone system will be integrated with the existing local area network company (McKeown & Turner, 2008). It will increase efficiency and cut down operational expenses.
The system will be useful to the company in different ways (Rabenko, Wier, Caine, Gleiter& Miller, 2005). These include:
a) The system will ensure that there is an optimization in communication channels, and it will consequently result in exceptional performance.
b) The system will help the operations department to manage the employees effectively. These will include the suppliers, business associates, and the contractors.
c) The efficiency in selling and materials transaction will be greatly improved in all branches.
d) Communication in a company increases the ability to make decisions. The system will help in solving problems when they arise.
e) The IP system will increase efficiency and reduce costs involved in communication within Digital Constructors by creating a local area network.
The project is viable, and it provides efficiency to the company. Sprint Cell Phone company will also offer specialized support and maintenance that will ensure continuity and efficiency. It will be cost effective and in line with modern technology.
