Executive Summary
This report is about the development of a project management plan for ‘No.1 gym’. In order to initiate the report, a brief background of this new gym will be provided.
A project manager has been contracted by No.1 gym to manage the opening event for this new gym at Burleigh heads. The project manager will be responsible for all the
event and planning steps. Gyms have the image of separating the elderly and those who wants to initiate their fitness lifestyle, this event aims to encourage them and
to show on the day of event that gym’s employees are here to support and provide them with all the necessary information and guidance as to how they can help achieve
their fitness goals. This project plan gives a detailed structure and framework for managing the event for opening a gym.

Assessment Task 2: Develop Project Plan
Introduction
This report is about the development of a project management plan for ‘No.1 gym’. In order to initiate the report, a brief background of this new gym will be provided.
As a project manager, I have been contracted by No.1 gym to manage the project of opening events day in Burleigh heads for one of their new gyms. As I will be the one
in charge of managing this project, I will be responsible for all the event and planning steps. Gyms have the image of separating the elderly and those who wants to
initiate their fitness lifestyle, we aim to encourage them and to show on the day of the event that our employees are here to support and provide them with all the
necessary information and guidance as to how they can help achieve their fitness goals. We will set up a warm and friendly gym atmosphere. The intended out is to
ensure that most of the people who will attend the meeting will be encourage through the event to sign up for the gym. The following project plan gives a detailed
structure and framework for managing the event.

Project Charter
The basic objectives of this project are to design a viable strategic plan for managing the events on the openning day for No.1 gym. The objectives and goals are to
make sure that at the opening day of the new gym, the place is filled with people wanting to possibly sign up and participate in this gym. People who will attend this
event will be considered as potential clients and thus, the event must provide an avenue that will make it easy for the people to understand the sign up process. The
second objective is the handling of catering and food and to make sure that the place of the event is efficiently staffed to handle any number of individuals attending
the event. The third objective is to ensure that there are adequate entertainment facilities so that people are thrilled and excited. When the event is well organized,
people are attracted to come with families and friends and will try to get as much information as possible. The organizers must therefore be ready to provide the
required information in regard to the gym and exercises to people who will have attended the gym. Entertainment will also help in giving the people an idea of
excitement that they will get if they decide to sign up in No.1 gym. The last and the most important objective is to organize the event in such a presentable way that
people are inclined and attracted to sign up to this new gym and to refer their friends and families also; this will be achieved by ensuring that activities in the
opening event are educative in regard to exercises and the benefits that come with working out in a gym.
Project Scope
Project scope caters for the result of the involved and undertaken work in the project. It is a deliverables list that the team of the project needs to address (Larson
& Gray, 2011). The scope includes the activities to be carried out and what should be covered. The project scope must clearly include all the activities to be carried
out on the openning day. This implies that in order for the project to be successful, the project manager will be expected to be vigilant enough so that he can manage
both the time lapses within the project scope.
The overall project scope comprises of start-up fund which is facilitated by owners and investors. The facilitation is to cover up the equipment purchases, furnishing,
preparation of shortage of services and products. There will also be a working capital to cover up the basic operating expenditures to be incurred in the setting up of
this event. The implementation of online and open air marketing campaigns are part of the scope. These will be required before the opening of gym and merchandize
procurement. The gym will be located within the central business area for ease of access.

The above image shows the work breakdown for the various stage of operations (Turner, 2014). The work breakdown structure is an important element of any project
because it breaks down the tasks into manageable portions. The project management work breakdown structure is a deliverable that decomposes the work to be performed in
a project into manageable portions in a hierarchical manner. An element of the work breakdown structure may be a service, product, data or combinations of these. A
work breakdown structure may also consist of a frame work with cost estimation details as well as controls. It also provides guidance and control for schedule
development. The work breakdown structure groups the discrete work elements of a project to ensure that the total work and scope of the project is organized. The
initial stage of the WBS is to arrange activity lists associated with the project. The owners and management of the project need to see every initial phase of the
project. They distribute the work activities into various operational levels. The contractor and project management must set up a project team for the entire event.
The members of the team are then equipped with notebooks and writing pads to note down all the anticipated tasks. All the operational levels are monitored from above
structure. Management of team must design a plan of responsibility to assign each member to different roles and responsibilities. The levels comprise of sub-activities
and activities as can be seen from the chart under a project manager.
In the chart above, the level one shows the title of the project ‘Event.’ Level two sub-activities while level three shows sub-activities. The activities in level 2
for the event are administration, marketing, advertising, venue, equipment, sponsors, and equipment. Sub activities show the processes of registration, supplies, venue
agreements, and catering, budgeting, sponsoring contracts, distributing materials and speaker’s expenses. The activity of advertising will be done prior to the opening
of the gym that is two months before so that people are aware of the opening of this new gym. Other work breakdown activities comprise of catering and food,
information sessions for the whole day, advertising, entertainment and web designing.
I will be the one to appeal to the geographic and to market that our gym is for all age groups and fitness lovers. This will come down to a friendly and festive
environment to all who wants to attend this opening event day and get as much information as possible from the existing trained staff. Music will be played which will
be part of the venue work. The reason to play music is to grab the attentions of people. The work of marketing will be further divided into social media coverage like
Facebook and distribution of pamphlets to gym’s passerby. Another work breakdown for marketing activity will be external and internal stakeholders on the opening day
who will solidify ‘a word of mouth’ marketing. They will also offer adequate information on the opening day regarding the diet, fitness plans, personal development,
supplements and gym facilities as a whole. Information on the benefits of exercise and maintaining a healthy weight will also be included; this is meant to enlighten
people and indicate to them why there is a need to sign up for the gym.

Network Diagram CPM/PERT
Project Network Diagram

A network diagram consists of a graphical representation of the different events and activities in a logical and sequential manner. Analysis of network diagram is an
important process in project management. It indicates the activities in the order with which they should be performed. A network diagram assists the project manager in
determining the critical path. It is also used in calculating delays between the different activities. It indicates the start and completion times of the different
activities in a project. A Gantt chart indicates the start, duration as well as finish of an activity. It also shows the dependencies btween different activities. .
The network diagram of the project above shows the flow of various activities from the initial stage to the end of the project (Reiss, 2013). Activity 1 shows a flow
of subsequent work from A by path 2 towards 2nd activity. The 2nd activity shows the work from activity one to activity three with the help of activity four using path
D. Similarly, the activity channel three, four and five follows the same path B and C. The critical path is Path A=5 days, C=1 day and F=3 days towards fifth activity
which is the end of the project.

Project Budget
The total budget for this gym opening event will be of $ 7,500. Within the initial two months, I will first advertise for event launch, web design, creating awareness
of the event and the date of opening of new business. I will also make sure that people are well aware and informed about the operations of this gym and will know that
this gym is for all fitness lovers and age groups. It will also provide information on diet and training being available for free at the opening ceremony. In order to
bring more people to the event as possible, I will be leading the event to provide information pamphlets for diet, supplement tastings and the staff which will give
support and advice to those who will attend. Below is the budget chart of the event.

Project Risk
Identification of risk will be done by examining the process of startup of the gym from viability to return on investment through the evaluation of payback period. All
potentials of risk sources will be given a proactive evaluation apart for the unpredictable natural disasters (Heagney, 2012). The assessment of risk shall be carried
by ensuring the probability of controllability and occurrence. Certain risks will be controlled even after or during the competition of project. The spread of risk
development model will be designed as well as plans for contingency. Under controlling risks, the manager of the project will adjust and monitor the control plans. In
sure sensitive conditions, the management might be reshuffled. Risk management will involve planning risk management, identifying the risks, qualitative analysis of
risks, quantitative analysis of risks, risk response planning, controlling and monitoring of risk.

Project Quality
The quality of the project is the final aim of the entire plan. High quality projects require high resources and costs (Gido & Clements, 2014). Low-quality resources
utilized may endanger the ultimate success of the project. Project’s overall performance will be done by doing a trend analysis from various periodic reports. The
management will carry value analysis earned for the opening of gym event and compares the cost of opening the gym and its scope. Various meetings will be conducted to
examine the project’s progress position. This will support in determining possible deviations and variations of the activities. The planned value will be forecasted to
ensure the incurred and anticipated costs. Information flow will be efficiently channeled to minimize miscommunication which may detriment the performance. The
effectiveness and ability for people to sign up for No. 1 gym will reflect the overall quality of the project. Effectiveness of communication and turn up of the people
who want to sign up for the will will indicate that the project quality was good enough. The projec scope, project budget, and project risk can be used to describe
acceptable quality standards. .

Conclusion
When the project is completed, a crosscheck of all the activities anticipated shall be revised. This will be crucial in ensuring that nothing is left out. Every detail
shall be confirmed and cross checked. The opening of gym event will take place once every activity is cross checked. The chairs, tables, venue, speakers will be
checked, and all the staff will commence their roles and duties. Advertisement and marketing promotion will be performed to make customers aware of their selections.
The project team that worked on the plan will be verified to affirm that everyone has completed their assigned task carefully. The management and staff shall hold a
general meeting to outline the payment and operational strategies details. The structure of the organization will be designed in order to establish a proper managerial
chain of command.
